Scope: This service description defines the binding functional and service scope of LaizyNote, available at https://laizynote.eu/en/legal/leistungen. It forms part of the contract between the provider and the customer and supplements the General Terms and Conditions.
1. General Description
LaizyNote is a web-based application for organizing notes, tasks, projects, contacts, time tracking, and files within a shared workspace. The application is designed for individual users, freelancers, and small to medium-sized teams. It is provided as Software-as-a-Service over the public internet and can be used in the browser as well as an installable Progressive Web App (PWA) on mobile and desktop devices.
2. Feature Overview

3. Detailed Module Descriptions
3.1 Notes
- Create, edit, archive, and delete notes.
- Rich-text editor with formatting (bold, italic, underline), lists, tables, highlights, font colors, and superscript/subscript text.
- Automatic saving during editing.
- Export of notes as part of the full ZIP export in JSON format.
- The Plus plan additionally provides an AI-powered import mode that derives task suggestions and structural suggestions from pasted text.
- The Free plan is subject to quantity limits (see Section 6); the Solo and Plus plans offer these features without fixed limits under the fair use policy (Section 6.5).
3.2 Tasks and Projects
Tasks
- Create, edit, and delete tasks with title, description, due date, priority, labels, and status (open, in progress, completed).
- List and Kanban views with drag-and-drop between status columns.
- Recurring tasks with a configurable repetition schedule.
- Assignment to projects and contacts.
- In team workspaces, assignment to members.
Projects
- Create, edit, and delete projects with status, schedule, and optional budget.
- Assignment of tasks, time entries, and contacts to projects.
- Comparison of tracked working hours against the allocated budget.
- A project is considered active as long as its status is not "completed", "cancelled," or "archived."
The Free plan is subject to quantity limits for tasks and active projects (see Section 6); the Solo and Plus plans offer these features without fixed limits under the fair use policy (Section 6.5).
3.3 Time Tracking
- Manual entry of time records with start and end time or duration.
- Stopwatch-based live tracking with start, pause, and stop functions.
- Assignment of time entries to projects and tasks.
- Marking as billable or non-billable; hourly rates configurable per project.
- Reports by day, week, and month.
- The Free plan includes basic functionality; the Solo plan offers extended time tracking; the Plus plan additionally includes team-based reports.
3.4 Contacts (CRM)
- Create, edit, archive, and delete contacts with name, email, phone, address, and notes.
- Assignable contact statuses (e.g., active, inactive, lead, customer, archived).
- Grouping via categories and custom groups.
- Linking contacts to projects, tasks, and time entries.
- The Plus plan additionally includes customer relationship metrics (Client Health).
- Import and export of contacts via CSV files.
- The Free plan is subject to a quantity limit (see Section 6); the Solo and Plus plans offer this feature without fixed limits under the fair use policy (Section 6.5).
3.5 Calendar
- Day, week, and month views.
- Display of tasks with due dates as calendar entries.
- Move tasks via drag-and-drop.
- Reminders before appointments.
- Display of public holidays.
- The calendar module is available exclusively in the personal workspace. No calendar is available in team workspaces.
- Personal calendars can be shared with other users, granting them view access to shared events.
3.6 Files
- Upload files to the respective workspace.
- Preview for images and PDFs, as well as download and deletion.
- Validation of the actual file type (not just the file extension).
- Storage and size limits per upload according to plan (see Section 6).
3.7 Docs
The Docs module extends the Notes module with more structured and comprehensive document creation. While Notes are intended for short-lived, formatted texts (memos, meeting notes, quick thoughts), Docs are suited for long-term, structured content such as personal knowledge bases, project documentation, tool and resource collections, or custom guides.
Features:
- Free creation of blank documents that users fill individually.
- Advanced block-based editor with slash menu for inserting various content elements.
- Tables with column and row management and simple calculation functions (e.g., sums).
- Code blocks with syntax highlighting.
- Superscript and subscript text, lists, highlights, and additional text formatting.
- Embedding of images, videos, and attachments.
- Assignment of descriptions and tags for organization.
- Available in offline mode through the PWA's local storage.
Unlike the Notes module, Docs is designed for more extensive and long-term content.
3.8 AI Assistant "Daisy"
Daisy is a chat-based AI assistant available exclusively on the Plus plan. Daisy is not available on the Solo plan.
Features
- Answering questions about the current workspace.
- Read access to tasks, projects, contacts, time entries, notes, files (metadata), workspace members, calendar entries, and business metrics of the current workspace.
- Speech-to-text transcription of audio recordings.
- Storage of conversation history per user.
- Ability to rate responses (feedback function).
Write Actions
Daisy can perform the following actions upon user instruction. A preview is displayed before execution, which the user must confirm; the confirmation prompt can be disabled in settings.
- Create, update, and delete notes.
- Create, update, and delete tasks including subtasks.
- Create, update, and delete projects.
- Create, update, and delete contacts.
- Create, update, and delete time entries.
- Create, update, and delete calendar entries.
File management (uploading, deleting, or renaming) is not included. These operations are performed exclusively by the user manually.
Data Access
- Daisy operates exclusively on the data of the currently selected workspace.
- In team workspaces, the user's permissions are respected.
Usage Limits and Consent
- The Plus plan provides 5,000 credits per user per month as an internal billing unit.
- Different actions (queries, tool calls, transcription) consume varying numbers of credits. The respective weighting is shown in a separate overview within the application.
- The current percentage consumption of monthly credits is displayed continuously in Daisy's chat interface and is also viewable in the account settings.
- Upon full consumption of the monthly included credits, users can purchase additional credit packages (e.g., 1,000, 3,000, or 10,000 credits) through the payment provider Stripe. Current prices are displayed separately within the application. Purchased credits are applied after the monthly included credits are exhausted.
- Activation of the assistant is initiated by the user; data processing related to the AI features is described separately in the Privacy Policy.
3.9 Dashboards
LaizyNote provides four dashboards:
- Main Dashboard (all plans): Overview of open tasks, upcoming appointments, and current user metrics.
- Business Intelligence Dashboard (Solo and Plus plans): Analytics on revenue, customers, and projects based on tracked time and projects.
- Performance Dashboard (Solo and Plus plans): Performance-related metrics such as average processing time, hours per task, and comparison with the previous period.
- Business Health Dashboard (Solo and Plus plans): Monthly business metrics for assessing overall business development.
The dashboards on the Solo and Plus plans are identical in functionality.
3.10 Achievements
Gamified confirmations upon reaching certain milestones in the application (e.g., number of tracked hours, completed tasks).
3.11 Workspaces and Collaboration
- Each user has exactly one personal workspace, which is created automatically with the account.
- Additionally, team workspaces can be created depending on the plan (see Sections 4 and 6).
- Invitation of additional users to a team workspace is done via email.
- Invitations are valid for 7 days and have the statuses "pending," "accepted," "declined," and "expired."
- Invitation as either a member or a guest.
- Views (modules) can be enabled or disabled per workspace. This setting applies uniformly to all members and guests of the workspace. Individual restriction of modules or permissions per person is separate and described in Section 5.
- Each workspace has its own storage quota.
3.12 Mobile Usage / PWA
- Installable as a Progressive Web App on desktop and mobile devices.
- Mobile interface with bottom navigation bar, bottom-sheet dialogs, and touch-optimized inputs.
- Offline usage through local data storage (IndexedDB); changes are synchronized with the server when the connection is restored.
- Update notifications are actively displayed and confirmed by the user.
4. Plans and Service Scope
4.1 Plan Overview
LaizyNote is offered in three plans: Free, Solo, and Plus. Current prices and available billing periods (monthly, annually) are listed on the pricing page at https://laizynote.eu/en/pricing.
All prices are net and subject to applicable value-added tax (VAT).

5. Workspace Roles and Permissions
In team workspaces, the roles Owner, Member, and Guest apply. "R" = Read, "C" = Create, "D" = Delete.

Notes:
- "Member" and "Guest" have the same default feature scope within modules. The "Guest" designation is a role label; the actual permissions are determined by the Owner's configuration.
- The Owner can individually configure the following for each person -- both members and guests:
- hide specific modules or views,
- revoke delete permissions for individual modules.
- Guest accounts cannot create their own workspaces.
- Invitations are sent via email, are valid for 7 days, and automatically expire afterward.
6. Limits and Quotas

6.3 AI Usage Limits for Daisy (Plus Plan Only)
- 5,000 credits per user per month as an internal billing unit.
- Percentage consumption is displayed continuously in the chat interface and is also viewable in the account settings.
- Upon full consumption of the included credits, users can purchase additional packages (e.g., 1,000, 3,000, or 10,000 credits) through Stripe. Current prices are displayed within the application. Purchased credits are applied after the monthly included credits are exhausted.
6.4 Export Limits
- CSV export: maximum 2 MB file size and maximum 5,000 rows per export.
- ZIP export: no fixed quantity limits beyond the plan storage limits.
6.5 Fair Use of Unlimited Features
On the Solo and Plus plans, notes, tasks, contacts, and projects are offered as unlimited. This refers to normal, industry-standard usage by freelancers and small teams.
To ensure service quality for all users and to protect the infrastructure, the provider reserves the right to impose restrictions or contact the user in case of abusive usage. Abusive usage includes in particular:
- Automated mass creation of records.
- Using the platform purely as a data storage backend without actual productivity use.
- Usage that is clearly outside the typical scale of freelancers or small teams.
Before any restriction is imposed, the user will be contacted and given the opportunity to adjust their usage or choose a suitable plan.
7. Technical Requirements
Using LaizyNote requires a current browser. The current versions of Google Chrome, Mozilla Firefox, Apple Safari, and Microsoft Edge are supported. Internet Explorer is not supported.
The application runs on desktop devices under Windows, macOS, and Linux, as well as on mobile devices under Android and iOS. Optional installation as a Progressive Web App is available on all supported platforms.
An active internet connection is required for synchronization, file uploads, and use of the AI assistant. Existing data of the currently selected workspace is available for reading and partially for writing through the browser's local data storage even without an active internet connection. Changes are synchronized with the server when the connection is restored.
8. Data Export and Portability
Users can export their data in the following formats:
- Full data export as ZIP archive: Contains all data stored in the workspace (notes, tasks, contacts, projects, calendar, time entries, categories, custom groups, and uploaded files) as structured individual files in JSON format.
- CSV export: Available for contacts and for tables created in Docs. Maximum size per export: 2 MB or 5,000 rows.
Data export is available on all plans.
8.1 Backups and Data Recovery
LaizyNote performs automatic backups of user data:
- Automatic backups: Automatic backups of data are created at regular intervals and retained for 30 days. Recovery from an automatic backup is provided upon user request as part of the support services on a goodwill basis without legal entitlement, insofar as this is technically feasible.
- Manual backups in team workspaces: The owner of a team workspace can additionally create manual backups on all plans to save a specific state of the workspace. Recovery of a manual backup is performed by the owner.
The backup function does not replace regular data backups by the user. If needed, it is recommended to additionally use the user-initiated data export (Section 8).
9. Security
9.1 Authentication
- Login with email address and password via Firebase Authentication.
- Login via Google account (OAuth) as an alternative.
- Email verification upon registration.
- Password reset via email token.
- Honeypot fields in the login form to prevent automated login attempts.
- Temporary lockout after multiple failed login attempts.
- Session management: overview of active sessions per account and active termination of individual or all other sessions.
9.2 Protection Against Abusive Use
- Firebase App Check with reCAPTCHA Enterprise to protect backend interfaces against automated access.
- Cloudflare Turnstile as additional bot protection during the login process.
- Validation of user inputs before processing.
- Verification of actual file types (magic bytes) during uploads.
9.3 Encryption
All data transmission between the end device and server is encrypted via HTTPS/TLS. Data at rest is protected by the standard encryption mechanisms of the cloud infrastructure used (Google Firebase).
9.4 Access Control
- Server-side access rules (Firestore Security Rules) verify every data access based on the user account and workspace role.
- Access rights are enforced at the module level through the role and configuration system per Section 5. By default, Owners have full rights and administrative rights, while Members and Guests receive uniform read, create, and delete rights across all modules. The Owner can restrict these rights.
9.5 Hosting Region
All data storage and processing takes place entirely in the europe-west3 (Frankfurt, Germany) region via Google Cloud / Firebase. This covers Cloud Functions, Cloud Firestore, and Cloud Storage.
10. Languages
The application is available in the following six languages:
- German
- English
- Spanish
- French
- Italian
- Portuguese
The language selection is made by the user in the settings and is stored per device.
11. Payment Processing and Invoicing
- Payment processing for the paid plans is handled by the payment provider Stripe (Stripe Payments Europe Ltd., Dublin, Ireland).
- Accepted payment methods include credit card and SEPA direct debit, as well as other methods supported by Stripe.
- Invoices are automatically generated after successful payment and are available for retrieval and download in the Stripe customer portal. The user is notified of completed payments via email.
- For B2B customers with a valid VAT ID within the EU, the reverse charge procedure applies (automatic validation via Stripe Tax).
12. Planned Features
The following features are in preparation. They are not part of the current service scope. No binding release date exists.
- Calendar synchronization with external calendar services (planned from the Solo plan onward).
- Two-factor authentication (2FA) for user accounts.
- Application programming interface (API) for external integrations including AI agents.
